How Vectrox works
Nine short sections, each with the steps and where to find them. Inside the app, Vectrox Agent (Ctrl + J) answers questions about any of it.
Part 1
Set up from a description, and make the fields yours
You describe your business in your own words when you register. The workspace is built from that description — and everything it builds, you can change.
Accounts are for adults: to register, or to accept an invitation, you tick a box confirming that you are at least 18 years of age and agree to the Terms of Service and Privacy Policy. A new business registers with a work email address at its own domain; free mailboxes such as Gmail or Yahoo are not accepted, except for a teammate invited at that address. The website and the tax or company registration number on the second step are optional: leave them blank if you do not have them yet.
Describe your business
“A CPA firm doing tax filing and audits for small businesses.”
AI designs the workspace
Pipeline stages and the client details worth tracking. No asset types are invented for you.
Bring in your clients
Add by hand, or import a spreadsheet — AI suggests which column is which and creates your asset types from the data.
Adjust anything
Rename stages, add fields, add asset types.
- 1An asset type is something a client holds with you: a policy, a retainer, a filing engagement, a property. Each type has its own custom fields — including lists of choices — and a field can be marked required.
- 2Clients have custom fields too, under Client attributes.
- 3To import: Clients & Leads → Import, upload a CSV, check the suggested column mapping, import. Asset types that do not exist yet are created from the data.
- 4Moving from another CRM? Export your deals from Salesforce, HubSpot, Zoho CRM or Pipedrive as a CSV, with their account and contact columns, and import it the same way (pick the source, or leave it on Auto-detect). Each column is labelled Client, Pipeline Deal, Contact Person or Asset / Policy before anything is saved. The account becomes the client, each row's deal goes into your pipeline (its stage matched to your own stages; a stage you do not have goes to the nearest one, with the original name kept in the deal's notes), and the person becomes a key contact on the client. An account on several rows becomes one client, and a client already in the workspace with the same email (or, in a CRM export, the same name) is reused rather than created twice. Deals you import are assigned to you.
Where: Data model (asset types and fields) · Clients & Leads → Import · Settings → Business profile. Owners and Admins change the data model; everyone else sees it read-only.
Part 2
Sales pipeline and deal automation
Every deal is a card on one board, in a column per stage. Workflows do the routine follow-up for you.
- 1Pipeline → New deal. Search for the client by name, email or phone (two clients with the same name are told apart by their email and phone), then give the deal a name, value, stage, chance of winning, expected close date and owner.
- 2Drag a card to another column to move the deal. Moving it into a “won” or “lost” stage closes it.
- 3A deal that has stalled or slipped shows its stage chance struck through beside its aged chance, in amber, with the reason underneath (for example “Inactive for 59d” or “30d past close date”). Any saved change resets idle time; a new expected close date lifts the past-close-date discount.
- 4Switch from Board to Table at the top of Pipeline to see every deal you have access to in one list: deal, client, value, stage, probability, expected close date and owner. Sort by a column heading, search by deal or client, and filter by stage and owner. Owners and Admins see the whole company’s deals, a Manager their own and their team’s, a Member or Viewer only their own.
- 5AI update on a deal: paste a call transcript or type what happened. AI proposes changes to the deal and you tick what is right. Nothing is saved until you apply it.
- 6Owners and Admins can edit the stages: name, probability, and whether a stage means open, won or lost.
- 7Sales Forecast (the third view, next to Board and Table) shows a month or a quarter: deals won in it (Closed Won), and open deals expected to close in it, as Commit (70% chance or more), Best Case (40 to 69%) or Pipeline (under 40%). Lost deals, and any a rep sets aside, are Omitted. A rep can move an open deal to another category from the table. The bar compares them with the period's target, which Owners and Admins set for the whole workspace or for one person; pacing is Closed Won plus Commit against the target, and the weighted expected value is Closed Won plus each open deal's value times its chance of winning. Deals past their expected close date are flagged as slipped.
Workflows: describe it, read it back, switch it on
Write it in plain English
“When a deal has been inactive for 7 days, create a task for the owner to follow up.”
Read the rule back
When … If … Then …, with warnings about anything that will not work.
Save — switched off
A new workflow never runs until you turn it on.
Switch it on
“Recent runs” shows what it did.
It can start…
- when a deal is created, moves stage, is won or is lost
- at a set time on chosen weekdays — once for every open deal that meets its conditions
- at a set time as a workspace reminder to the owner or admins: once a day, even with no deals
- when an open deal has had no change for N days
- N days before a deal’s expected close date
- N days before a client’s product, policy or contract expires, or after it lapses without renewal
- when a client is added, one by one or by import
- when a client has had no contact for N days
On condition of…
- the deal’s stage
- the deal’s value
- the asset type, for expiry and lapse workflows
It can…
- email the client, from a template or in your own words
- email your team an alert: the deal’s or client’s owner, their manager, the owner, or the owner and admins
- create a task
- add a note to the timeline
- draft an invoice from the accepted quote (deal workflows)
- set a reminder for later
A workflow acts on a deal once — once per scheduled day for a timed one, once per quiet spell for an inactivity one — so a deal dragged out of a stage and back never sends a second email. An expiry reminder goes once per asset for each expiry date (a renewed asset is reminded again before its next one), and a new client is welcomed once. Renewal emails can use {{product_name}}, {{category_name}} and {{expiry_date}}, in a saved template too.
Where: Pipeline · Settings → Workflows (Owners and Admins) · Settings → Email templates.
Part 3
Quotes, line items, recurring billing and e-signature
Price a deal line by line, send the client a link, and let them accept it online. An accepted quote wins the deal and becomes the invoice.
Draft
Line items: description, quantity, price, and how it is billed.
Sent
“Send — get the link” creates a private link for the client.
Accepted
The client types their name to sign. The deal is marked won.
Invoice
Draft → Open → Paid, created from the signed quote.
- 1Start from Sales & Billing → New quote and choose the deal, or from the deal’s own Quotes tab. A quote always belongs to a deal.
- 2Each line is billed one-time, monthly, quarterly or yearly. The quote shows what is due on acceptance and each recurring amount separately.
- 3Copy the link, or email it from your connected mailbox. The client’s page shows the quote and an accept button — they need no account.
- 4When they accept, the name they typed, the time, their IP address and browser are recorded. A signed quote cannot be edited or deleted.
- 5Create invoice on an accepted quote copies its lines. Mark an invoice paid by hand when the money arrives.
Four kinds of document, written your way
- 1Choose the Document type: Formal Quotation, Service Proposal & SOW, Engagement Letter, or Commercial / Tax Invoice. The first three are signed by the client through the link; an invoice is issued and marked paid.
- 2Write the scope in your own words — type or paste it, with headings, bold and lists — and the Terms & payment instructions. Save your standard terms and bank details once under Settings → Business profile → Document defaults and every new document starts with them.
- 3Tick Supporting attachments from the client’s Documents (an NDA, a specification). They appear on the document as downloads.
- 4View / PDF shows the finished document: letterhead with your logo, both parties, scope, the schedule of amounts, attachments, terms and the signature. Download / Print PDF — there and on the client’s link — prints it or saves it as a PDF on A4 or Letter.
Catalog, discount and tax
Subtotal
The line items, each quantity × price.
Less: Discount
A percentage of the subtotal, or a flat amount.
Add: Tax
One rate — GST, VAT, Sales Tax — on what remains.
Grand total
10,000 less 10% is 9,000; plus 18% GST is 10,620.
- 1Keep what you sell in Settings → Product Catalog: a name, price, how it is billed, an optional tax rate, HSN/SAC code and SKU, and your own custom attributes — Sum Assured and Policy Term for an insurer, Deliverables and Hours Included for an agency.
- 2Starting from nothing? AI Catalog Setup (beside New item) reads a description of what you sell, such as a pasted price list, and proposes the items: name, price, how each is billed, a suggested tax rate and HSN/SAC code, and a few attributes. Edit anything in the review list, untick what you do not want, then Import to catalog. A price that is not in your text is left blank for you, and the tax rates and codes are suggestions to check.
- 3On a quote or invoice, Browse Product Catalog opens your catalog over the document: search by name, SKU or HSN/SAC code, with items grouped by how they are billed and each showing its SKU, tax rate and price. Picking one fills a line in (name, price, quantity 1, billing frequency, and the item’s description and attributes as a details line underneath) and puts the cursor in the quantity. Change anything you like on the line.
- 4Wrote a new package by hand? Save to catalog under the line keeps it for next time. Members can add items; owners and admins edit and deactivate them.
- 5Below the lines, set a Discount (percent or amount) and the Tax name and rate. The breakdown — subtotal, discount, net taxable amount, tax, grand total — updates as you type and appears on the document, the client’s link and the PDF.
- 6Upload your company logo (PNG, JPG or SVG, up to 2 MB) under Settings → Business profile. It heads every document; without one, your business name is printed. Add a headline there too — the line under your name, in the app and on every letterhead.
- 7For a formal tax invoice: save your Tax ID / GSTIN and registration number under Settings → Business profile, the client’s tax ID and billing address in the client’s Edit profile, and choose the Invoice title (Tax Invoice, Pro-forma, Commercial Invoice, Bill of Supply). The invoice prints both tax IDs, HSN / SAC codes, the breakdown, the total in words, your bank details and an authorised-signatory box. Set your own invoice number prefix (such as INV-2026-) in the same settings.
- 8Under Settings → Business profile → Authorized Signatory & Seal (Owners and Admins), save who signs for the business, their designation, and an image of their signature or the company stamp (PNG, JPG or WebP, up to 2 MB). Every invoice then prints them in its signatory box; without an image the box keeps a line to sign by hand.
The CRM records quotes and invoices; it does not take payments from your clients. Tax is one rate per document that you type in — the CRM does not look rates up, split a tax into parts or file returns. A PDF is made by your browser’s “Save as PDF”, not stored or emailed by the CRM. Changing a catalog price never changes a document already written.
Where: Sales & Billing · Pipeline → open a deal → Quotes / Invoices · Settings → Product Catalog · Settings → Business profile.
Part 4
Automated renewals and assets
Anything with an expiry date is a renewal. The client is reminded for you, and repeating assets move forward by themselves.
Add an asset
On a client’s Assets tab, with a start and an expiry date.
30 days before
The client is emailed a reminder from your connected mailbox (7 days before for a monthly asset).
Filed on the timeline
The reminder appears in the client’s history.
Date passes
An asset set to repeat monthly or yearly rolls to its next date.
- 1Set Repeats on the asset to “does not repeat”, monthly or yearly.
- 2See what is coming: Upcoming renewals on the dashboard, or sort Clients & Leads by renewal date. A client whose assets have all passed their renewal date is shown as Lapsed, with how long ago, until an asset has a date in the future again.
- 3For anything else you must not forget, set a reminder on the client with a date and time. You are emailed when it falls due.
Where: A client’s profile → Assets · Dashboard · Clients & Leads (sort by renewal).
Part 5
Two-way Gmail and Outlook sync, and the company-domain filter
Connect your mailbox once. Conversations with clients file themselves on the right timeline, and email you send from the CRM leaves from your own address.
- 1Settings → Integrations → Connect Gmail or Connect Outlook. Each person connects their own mailbox; the top of the page shows which account you are signed in as. A company mail server can be added under Custom Email (IMAP / SMTP), which checks that signing in works and keeps the settings encrypted; filing and sending still go through Gmail or Outlook.
- 2From then on, mail exchanged with a client’s email address is filed on that client’s timeline every few minutes — subject, text, date and whose mailbox it came from. Sync all clients now does it on demand.
- 3To send: open the client, choose Email in the composer, pick a template if you like, and send. It goes out from your mailbox and appears in its Sent folder.
- 4Writing a template (Settings → Email templates, Owners and Admins): the Insert pills put the client’s name, first name, email, phone, your company name, today’s date or the client’s next renewal date where your cursor is. Or describe the email to Draft with Vectrox Assistant, choose a tone (Professional, Friendly, Direct or Urgent), and the subject and email are written for you to read and change before you save. Only your description is sent; no client data is.
- 5To set up a meeting: choose Schedule meeting in the composer — title, date and time, duration, platform (Google Meet, Zoom, in person or phone) and the link or location. The meeting goes on the client’s timeline, a task is created for you on that day, and the client is emailed a confirmation with a calendar file. Create the Meet or Zoom room in that product and paste its link; the CRM does not create it.
- 6After a call or meeting: press Ingest Meeting Transcript / Notes at the bottom of the composer and paste the transcript from Meet, Zoom or Teams, or your own notes. Debrief with Vectrox reads it and shows a headline, the key takeaways, how the client came across (Positive, Neutral, At Risk or Urgent) and the follow-ups with suggested due dates. Untick what you do not want, then Save to Timeline: the debrief is logged as a meeting and each ticked follow-up becomes a task on that client, assigned to you. Nothing is saved before that, and the pasted text itself is not kept. It reads pasted text only; it does not join or record calls.
What is filed, and what never is
You ↔ a client’s address
Filed on that client’s timeline.
A client → you, with a colleague copied in
Filed on the client only — never on the colleague, even if they are also saved as a client.
You ↔ a colleague (anyone on your company’s email domain, or a teammate’s own address)
Ignored. Internal mail is never filed on a client timeline.
Anyone who is not a client
Not stored at all.
Your company’s domain is worked out from your team’s own addresses and shown under Settings → Integrations. A public provider such as gmail.com is never treated as a company domain — so a team that works from Gmail addresses still gets its Gmail clients filed.
Email deliverability and inbox placement
- 1Emails you send from a connected Google Workspace or Microsoft 365 mailbox are sent by Google or Microsoft, from your own address on your own domain. That is the strongest signal of a genuine one-to-one email, and the best chance of the client's Primary inbox. No sender can guarantee placement: Gmail and Outlook decide.
- 2Every email from Vectrox is built as one-to-one mail: no unsubscribe or bulk-mail headers (Gmail sends mail that has them to the Promotions tab), a valid date and Message-ID, and a plain-text version alongside the formatted one. Renewal reminders and workflow emails are marked as automated, so out-of-office replies do not loop.
- 3For your own domain, publish SPF, DKIM and DMARC records. Settings → Integrations lists the exact records for Google Workspace and Microsoft 365. Start DMARC at p=none, and move to p=quarantine and then p=reject once its reports show all your genuine mail passing.
Where: Settings → Integrations · a client’s profile → Activity.
Part 6
Slack alerts and Notion export
Post the moments that matter to a Slack channel and claim new leads from it, and send client dossiers and meeting debriefs to Notion, with edits coming back as notes if you choose.
- 1Slack: in Slack, create an app, switch on Incoming Webhooks and add a webhook for the channel you want. Paste its address in Settings → Integrations → Connected apps, choose the alerts, and press Send Test Notification. Alerts: a deal moving to a won stage (name, value, client, owner), an invoice marked paid (number, amount, client), and a client added with the status Lead (name, email, phone). Each has a button back to the record.
- 2Notion: in Notion, create an internal integration and copy its secret, then open the database you want and add the integration under Connections. Paste the secret and the database link in Connected apps; Vectrox checks both with Notion before saving.
- 3Then, on a client, More → Export dossier to Notion adds a page with the client's profile, key contacts, assets, deals, latest activity and AI brief. Fields marked sensitive are left out, and so is the text of emails (only their subjects and dates go). On a saved meeting debrief in the timeline, the Notion button exports that debrief as its own page.
- 4Claim leads from Slack: tick Enable Interactive Actions (Claim Leads) on the Slack card, paste your Slack app's Signing Secret and Bot User OAuth Token (with the bot scopes users:read and users:read.email), and paste the Request URL shown there into the app's Interactivity settings. New-lead messages then get a Claim lead button: whoever presses it becomes the lead's owner, matched by the email address of their Slack account, and the message updates to show who took it. Only a lead with no owner can be claimed.
- 5Two-Way Sync with Notion: switch the Notion card's Sync Direction to Two-Way Sync and press Sync with Notion Now. Pages edited in the database since the last sync come back as notes on the client whose name is exactly the page title, which is how exported dossiers are named. Nothing in Notion is changed, and pages that match no client, or more than one, are skipped.
Owners and Admins connect and change these apps; everyone else sees whether they are connected. The webhook address, the Slack signing secret and bot token, and the Notion secret are stored encrypted and are never shown again after saving. Claiming and two-way sync need the database update 48_universal_teams_and_two_way_integrations.sql.
Where: Settings → Integrations → Connected apps · a client’s profile → More.
Part 7
Executive dashboards and charts from a question
Owners see headline figures chosen for their kind of business, and can ask for any chart in plain English.
Ask
“Compare Q3 revenue to Q2 and break it down by sales rep.”
A chart appears
With the figures in a table, and how it was calculated.
It stays on your dashboard.
Always current
A pinned chart stores the question, not the numbers — it recalculates each time.
- 1The headline figures depend on the business: recurring-revenue businesses see monthly recurring revenue and acquisition cost; professional firms see client retention and revenue per engagement. Change the set with Tuned for.
- 2A figure that cannot be calculated yet is shown as unknown, never as zero.
- 3The Business Intelligence page opens with the Operations console, calculated from live records and added up over every record you can see, however large the workspace: net pipeline value, weighted forecast, win rate, cash collection rate, active retainer value and churn exposure, with a panel behind each: where open deals sit and for how long, won against lost by person, invoiced against collected with overdue amounts by age, how concentrated your invoicing is, which clients show a retention risk and why, and Target accounts for expansion, which matches existing accounts to a catalog item they do not have yet. Every account at risk is listed with its reasons, and Create task on an at-risk account or an expansion target turns the finding into a task for you or a teammate, due in three working days.
- 4Vectrox Predictive Analytics adds three panels to the console. Revenue forecast: the next three months from your monthly invoicing, as Commit (an 80% chance of at least this), Most likely and Best case. Statistical anomalies: deals and invoices far out of line with the rest, shown as “+3.4σ”. Retention risk is ranked by each account’s chance of lapsing within 90 days, and expansion targets are product pairings at least twice as likely as average, with an “adoption likelihood” badge. A nightly job keeps these scores current and marks passed, non-repeating assets as Lapsed.
- 5Ask Vectrox Data (Owners and Admins) sits under the console. Product questions (“Which product generated the most revenue?”) are answered from your invoice lines. Ask for a figure (“Which client has the highest unpaid balance?”) and you get a chart or table you can pin. Ask what to do (“Who should we upsell?”, “Why are we losing deals?”, “How should we price this?”) and you get a written diagnosis: each finding, the figures behind it, and a next step.
- 6Below the console the page analyses the book: value by asset type, lifetime value, the Executive Intelligence & Action Center, and “Who to offer what — next”.
- 7Lifetime value is each client’s yearly value times how long they are expected to stay: one divided by their yearly chance of lapsing, at most 7 years. A client with a nightly risk score uses their own; the rest use your book’s own lapse rate. Expected pipeline figures everywhere lower a deal’s probability when it has sat unchanged for more than 14 days or passed its close date, and the dashboard forecast adds a Commit (80% likely) and a Best case (20% likely) for the month.
- 8Generate briefing in the Executive Intelligence & Action Center turns the nightly risk scores and the product pairings into four tabs: Overview (key results such as portfolio health, revenue at risk and the top cross-sell lift, each with a status, and one number to watch this quarter), Risk & Churn (who is at risk, the main causes and how to keep each account), Recommendations Guide (each pairing’s lift and confidence, why it works, an opening line for the rep and who to call first) and Action Playbook (tasks for today, this week and this month, for account executives, success leads or leadership). It does not invent recommendations: every figure, pairing and client name on it comes from your data. Client names and contact details are never sent to the AI.
- 9Managers get a different dashboard — their reps’ results, where deals get stuck, the team pipeline. Members see their own tasks, stalled deals and pipeline.
The console’s figures are arithmetic and statistics on your own records, not AI; forecasts and risk scores are estimates to prioritise attention, not promises. A written diagnosis is AI: it quotes those figures and labels anything beyond them as judgement, so check it before you act. The CRM keeps no history of the stages a deal passed through, so it cannot say at which stage deals are lost.
Where: Dashboard (Owners and Admins) · Business Intelligence (Owners, Admins, Managers).
Part 8
Analytics dashboards your whole team shares
Build dashboards from ten kinds of component, and switch between them from one menu.
Add a component
Pick one of ten kinds. It arrives with a starting template.
Make it yours
What to measure, how to break it down, over what period.
Arrange
One third, one half or full width; move it earlier or later.
Share
Everyone in the workspace sees it, with their own figures.
- 1Open Analytics. The dashboard’s name is a menu: use it to switch dashboards or start a New dashboard. The settings button has Set as default, Rename and Delete dashboard.
- 2Add component offers a KPI Card, Chart, Comparator, Cohort, Zone, Funnel, Target Meter, Anomaly Detector, Quadrant and Stage.
- 3The … menu on a component edits it, resizes it, moves it or removes it. A Target Meter needs a target: type it in when you edit.
- 4Or tell the AI Dashboard Assistant what you want: “a funnel of our open pipeline”. It chooses the kind of component and what it shows; the figures are then calculated from your records.
A dashboard is shared, but the figures are personal: a Member sees their own deals and clients in every component, a Manager their team’s. The funnel and the Stage component are worked out from where deals are now, because the CRM does not record the stages a deal has passed through.
Where: Analytics, in the sidebar (everyone). Changing dashboards and components: Members and above.
Part 9
Reports across clients, deals, billing and activity
List or summarise any part of your workspace, on its own or together with a related part, and export the result.
Choose what to list
Clients, Opportunities, Invoices, Quotes, Tasks, Activity or Assets.
Relate it
With a related kind of record, or without: “Clients without Activity”.
Shape it
Columns, grouping, totals and conditions, with a live preview.
Save and run
Kept in a folder for the whole team. Export to CSV.
- 1Open Reports and press Create report. Pick what the report lists, then a relationship: with gives one row for each pair (each client with each of its opportunities); without gives only the records that have none.
- 2In a “without” report, a condition on the related records says which ones count: Clients without Activity, logged in the last 30 days, finds the clients nobody has contacted this month.
- 3Group by a status, a stage, a person or a date to get a summary, and add totals: count, sum, average, lowest or highest. A total counts each record once, even if it appears on several rows.
- 4Join conditions with and or or. “And” binds tighter: A and B or C means (A and B) or C.
- 5Or describe the report in the Vectrox Report Intelligence box. It opens the builder already filled in for you to check; it never saves or runs anything by itself, and it tells you if part of your request does not fit in one report.
- 6On a saved report: the totals are cards above the table. Search within the results, click a heading to order them, and use Refresh to run it again. Export CSV downloads up to 50,000 rows.
- 7In a grouped report, click a group (or its chevron) to open it and see the records behind its figures, up to 50 per group on screen. Its Export CSV holds every underlying record, each with the group it falls in as the first column.
A saved report is shared with your workspace, but everyone sees their own records in it: a Member who runs the owner’s report sees only the clients and deals assigned to them. Tax and identity numbers, addresses, notes and custom fields are not available in reports.
Where: Reports, in the sidebar (everyone). Creating, changing, deleting and exporting: Members and above.
Part 10
Team roles and who sees what
Five roles. What each one can see is enforced by the database itself — not just hidden on the screen.
| Role | Sees | Can also |
|---|---|---|
| Owner | Everything in the workspace | Everything, including granting Admin |
| Admin | Everything in the workspace | Manage the team, data model, workflows, templates and audit log; assign and delete clients |
| Manager | Their own clients, deals and tasks, plus those of the people who report to them | Assign clients within their team |
| Member (a rep) | The clients, deals and tasks assigned to them, plus their squad’s or everyone’s when the visibility mode shares them | Create and work their own records |
| Viewer | What is assigned to them, plus what the visibility mode shares | Nothing — read-only |
- 1Every client has an owner — the Assigned to person. Everything that belongs to the client follows them: timeline, assets, documents, reminders. Quotes and invoices follow their deal.
- 2A client with no owner is visible only to the Owner and Admins. If a rep cannot find a client, it is assigned to someone else or to nobody.
- 3To assign: Clients & Leads → tick the clients → Assign to. A client a Member creates or imports is theirs automatically.
- 4Who reports to whom is set in Settings → Team & roles → Reports to. That is what decides which reps a Manager sees.
- 5Squads group people inside the workspace, such as a region or a product line. Owners and Admins create them in Settings → Team & roles, give each a colour and, if they like, a squad lead, who sees the work of everyone in the squad. A squad lead is always a Manager, an Admin or the Owner; Members and Viewers cannot lead a squad. Each squad has its own visibility mode, which its people follow: Strict (as described above), Squad Shared (everyone also sees their own squad's records) or Open (one shared book with everyone else whose mode is Open). A Strict squad stays private even when others are Open, so a sales squad can share while HR or Legal keeps each person to their own clients. The Default Workspace Visibility applies to people in no squad. Unassigned clients stay with the Owner and Admins in every mode.
- 6Invite teammates from Settings → Team & roles: choose their role, how long the link stays valid (24 hours, 7, 30 or 90 days, or forever), and if you like their squad and reporting manager, which apply the moment they join. You always get the link with a Copy Link button, so you can send it through Slack, Teams or WhatsApp if the email does not arrive. Your teammate opens it, types their name, chooses a password and is in: no separate sign-up.
- 7Everyone sets the name the team sees in Settings → My profile, which also shows who they report to and who shares that manager. A Manager sees their own team there, with a link to each person’s tasks. Members see only their own tasks, under My Tasks.
- 8The audit log records who changed what, and Settings → Security & Sessions (Owners and Admins) lists every sign-in: when, who, the IP address, the device and browser, and where from when known.
- 9Your firm’s own Vectrox plan is under Settings → Subscription & Billing. Everyone can see the plan and its status. Only the Owner can open Manage Invoices & Payment Methods (update the card, download tax invoices, cancel) or switch from monthly to annual billing.
Where: Settings → Team & roles · Settings → My profile · Clients & Leads → Assign to · Settings → Audit log · Settings → Security & Sessions · Settings → Subscription & Billing.
Part 11
Vectrox Agent, the in-app assistant
Operational intelligence for your workspace: help that knows where you are and what your role is — and says so plainly when something cannot be done.
- 1Press Ctrl + J (⌘ + J on a Mac), or click the round button in the bottom-right corner or the sparkle button in the top bar.
- 2Ask how to do something (“How do I send a quote?”), why something is not showing (“Why can’t I see a client my colleague added?”), or for advice (“How should a firm like mine set up its pipeline?”).
- 3It answers for your role: if a Member asks for something only an Admin can do, it says who can.
- 4Ask it about the business itself, too: who to cross-sell or upsell and with what, which clients are at risk of leaving, why deals are won or lost, who owes the most, how to price and position. It works from totals the app calculates from the records your role can see, names the clients and catalog items involved, and gives a next step. It does not turn these questions away; where something is not recorded it says so and advises from what is.
- 5If the product does not do what you ask, or something looks broken, it tells you so and offers a short form. Talk to a person is always at the bottom of the panel. Your request is logged for the support team with a reference number.
- 6Have an idea rather than a problem? Feedback & Ideas in the sidebar sends a feature suggestion, an improvement, a review or a usability note to the product team. You get a tracking reference on screen and a confirmation by email.
Vectrox Agent explains and advises. It cannot change anything in your workspace or open an individual record, and its answers are AI-generated — check before you act on them.
Part 12
Themes, dark mode and the keyboard
Make the workspace yours: five colour themes, light or dark, and shortcuts for getting around without the mouse.
- 1The sun / moon button at the top right switches light and dark in one click. Shift + D does the same from anywhere.
- 2The palette button beside it (also at the foot of the sidebar) chooses a theme: Obsidian, Titanium, Midnight Cobalt, Emerald Finance, Swiss Slate, Nordic Copper or Mercury Mint. It applies at once. “System” mode follows your device. The public pages (sign-in, pricing, legal pages, a client’s quote link) always wear Mercury Mint in light mode, whatever you choose.
- 3Get around from the keyboard: G then D for the Dashboard, A Analytics, R Reports, C Clients, P Pipeline, B Sales & Billing, T Tasks, S Settings, F Feedback & Ideas. Ctrl + K searches and jumps anywhere.
The theme is your own preference on that device — it does not change what your teammates see. Quotes and invoices are always shown and printed on white, and status colours mean the same in every theme.
